Guide to Adding or Updating Pay Cycles

This article explains how to add or update Pay Cycles in MDP. You can configure pay cycles when creating a new company or update them later from the Company List.

Accessing the Pay Cycles section

Pay Cycles is the third step in the company setup process. You can configure pay cycles when creating a new company or update them later when managing an existing company.

Adding Pay Cycles

To add a new pay cycle, follow these steps:

  1. Click the + Add Pay Cycle button.

  2. Enter the required details:

    • Pay Cycle Name

    • Frequency (e.g., weekly, biweekly, monthly, fortnightly, 4-weekly)

    • Tax Period

    • Start Date of the first pay period

    • Pay Date of the first period

  3. Click Populate Pay Calendar. The system will automatically generate the pay periods for the selected tax year based on the pay cycle frequency and the first pay period's start and pay dates.

  4. Review the generated pay calendar. To change a pay date or bank date, click the Edit icon next to the relevant pay period. Update the required date and click Save.

    Note: Bank date is used when processing the payroll payment through the bank

  5. Once you have reviewed the pay periods, click Save to save the pay cycle.

  6. The pay period headings will automatically update based on the selected frequency.

Example:

If Weekly is selected as the frequency, the system will generate a pay period for each week of the selected tax year.

For example, if the first pay period starts on 04/05/YYYY, the pay date is 07/05/YYYY and the bank date is 07/05/YYYY; the system will generate the subsequent weekly pay periods automatically.

You can create multiple pay cycles as needed. The total number of pay cycles appears in the top-right corner of the listing page.

To proceed, click the Next button. You may also skip this section and update it later.

Updating Pay Cycles

To update or add pay cycles after the initial company setup, follow these steps:

  1. Navigate to the Dashboard by clicking the logo. The Company List will then be displayed.

  2. Locate the company you want to update and click the Edit icon.

  3. In the Pay Cycles section, depending on whether pay cycles have already been configured:

    • + Add – Select this if no pay cycles have been configured yet.

    • More – Select this to view or update existing pay cycles.

    + Add: If no pay cycles were configured during the initial setup, the + Add option will be displayed. Select + Add and follow the steps outlined in the Adding Pay Cycles section.

    More: If pay cycles have already been configured, the More option will be displayed. Select More to view and update the existing pay cycles. The total number of configured pay cycles is displayed at the top of the pay cycle list.

    Updating Pay Cycles and Pay Dates:

    • Adding a New Pay Cycle: Click + Add Pay Cycle and follow the steps outlined in the Adding Pay Cycles section.

    • Editing an Existing Pay Cycle: Click View next to the pay cycle you want to update, then make the required changes.

    • Updating Pay Dates or Bank Dates: For upcoming pay dates or bank dates, click the Edit icon next to the relevant date. Update the date and click Save.

      If you need to update the Pay Date or Bank Date for the current pay period, use the Payroll screen. An Info icon indicates that the dates cannot be edited from the Pay Cycle screen.

      If no changes are required, click Back to return to the pay cycle list. Click the Close icon at the top right of the slider to go to the company page.

    • Deleting a Pay Cycle: To remove a pay cycle, click Delete, then click Proceed in the confirmation window.
