Accessing the Pay Cycles section
The sixth step in the client setup process is configuring pay cycles. You can access this section while setting up a new client or when updating an existing client's details.
Adding Pay Cycles
To add a new pay cycle, follow these steps:
Click the "+ Add Pay Cycle" button.
Enter the required details:
Pay Cycle Name
Frequency (e.g., weekly, biweekly, monthly)
Tax Period
Start Date of the first pay period
Pay Date of the first period
Click "Populate Pay Calendar" to generate the complete pay schedule based on the start and pay dates for the entire tax year.
Click "Save" to save the pay periods or click "Reset" to make changes.
Example:
If the pay cycle frequency is weekly, the tax year is 2025, and the first period’s start date is 04/05/2025 with a pay date of 07/05/2025, the system will generate:
First Pay Period: Start Date: 04/05/2025, End Date: 10/05/2025, Pay Date: 07/05/2025
Second Pay Period: Start Date: 11/05/2025, End Date: 17/05/2025, Pay Date: 14/05/2025
You can create multiple pay cycles as needed. To proceed, click the "Next" button. You may also skip this section and update it later.
Updating Pay Cycles
To update or add pay cycles after the initial client setup, follow these steps:
Navigate to the Dashboard by clicking on the client logo.
Locate the client in the Manage Clients list.
Click the Edit icon in the corresponding row to open the client details page.
In the Pay Cycles section, you will have two options based on the initial setup
Add: If no pay cycles were configured during the initial setup, you will see the "+ Add" option. Follow the steps outlined in the Adding Pay Cycles section.
More: If pay cycles were previously added, the "More" option will be available. Clicking this will allow you to edit existing pay cycles. The number of pay cycles created will be displayed at the top of the pay cycle list.
