User Timesheets - Kendo Grid Implementation

As I'm sure you are well aware, the old user timesheets screen needed improvement, so the team has worked hard to improve this for you. 🀩

Compliance Improvements

Some exciting new improvements have been made to the Compliance screen in MDT, we hope you like them as much as we do! 😁


Purchase Order Improvements

a) We have provided a new option while creating or updating purchases called "Reference Purchase Order". This will allow the agency to use the purchase order on assignments/timesheets for reference purposes only.

If you have selected the reference purchase order, the value of the purchase order will be disabled as this is for reference purposes only and it won't be considered for any PO value validations. It will be indicated as "Ref PO" in the purchase order dropdown on the contractor assignments.
​

b) Previously, we weren't able to link a PO to an active assignment once a timesheet had been created under that assignment. Now, we have given the provision for the user to update/change PO after creating a timesheet. The newly added PO should be within the assignment date range.

If you update the PO after the contractor creates a timesheet for the assignment and it is approved, the newly linked PO will be mapped to the next timesheet. It won't change for an approved timesheet. But you will be able to map the new PO to the timesheets which are awaiting approval or awaiting authorisation status. The following two options will be given to the user for mapping the newly updated PO on the assignment.

If you have selected "Keep Old Purchase Order", the newly updated PO in the assignment won't be mapped for timesheets which have awaiting approval or awaiting authorisation status, but if you select "Use New Purchase Order", the newly updated PO in the assignment will be mapped for those timesheets.



Client and Supplier Screen Filters:

Client:

We have provided the following filter options on the client screen to make life easier for the user.

1. Invoice Grouping by: To identify the grouping settings of the clients.
2. With Chaser Settings: To easily identify which clients have chaser settings without manually going into each client.

Supplier:

We have provided the following filter options on the supplier screen to help the user find out the major supplier settings.
​
1. Invoice Grouping by: To identify the grouping settings of the suppliers.
2. PEO Uplift enabled: To easily identify which suppliers have PEO uplift settings enabled without manually going into each supplier.

Client-Invoice Settings Improvements

We have given new invoice settings for the user to set up on the client, based on whether the user has to send the invoice to the client with (or) without timesheet information. This can be set up in the Clients-> Any Client-> Invoice Settings.

If the user has selected "Exclude Timesheets from Sales Invoices PDF" for that particular client and sends the sales invoice, only the invoice information will be sent to the client.

If the user has selected "Exclude Attachments from Sales Invoices PDF", then the sales invoice will be sent along with timesheet information without contractor-submitted attachments. If none of the options are selected and the user tries to send a sales invoice PDF to the client, the PDF will contain timesheet information and timesheet attachments will also be sent as a zip file.


Client Chaser Improvements

We have changed the way the chaser was set up previously.

It was 24 and 12 hours irrespective of the reminder frequency. We thought of improving the settings so that they're more intuitive for the user. The new chaser settings will be displayed as below:

a) If it's weekly, the user can select the days for which you want to send the reminder and save it, so that the reminder email will be sent to the contractor (who has an active assignment and has not submitted a timesheet for the specific periods till now ) on the selected days.

b) If it's monthly, the user can give the dates using a comma (,) for which you want to send the reminder and save it, so that the reminder email will be sent to the contractor (who has an active assignment and has not submitted a timesheet for the specific periods till now) on the selected dates.
​


General Improvements

a) The expiry for the login activation link sent to the contractor has been changed from 4 hours to 24 hours.

b) New bank files (Natwest and Coop FD) have been created and the user will be able to set them up on their Organisation Details.
