Idle Timeout

We have introduced a new security feature in the system known as "Idle Timeout." The agency admin user has the provision to enable it in the "Security Settings".

When you enable it, you can configure it for a minimum of 60 seconds and a maximum of 3600 seconds. If the users (all users, including contractors and clients) across the organisation remain idle for the configured time, then the user will receive the below pop up:

If the user wishes to stay, he can do so by clicking the "Stay" button, otherwise, he will be logged out after 20 seconds.


Edit Timesheet - Unbilled (or) Unpaid Status

Previously, there was no way to edit the timesheet details if the timesheet was either billed (or) paid. Now, we have added a new feature that allows agency users to edit timesheet details if one of the statuses is (Sales Invoice or Purchase Invoice) unbilled or unpaid. If the sales invoice status is unbilled for the timesheet, users can edit the charge rate and client VAT details; if the purchase invoice status is unpaid for the timesheet, they can edit the pay rate and supplier VAT details.

Example:

Sales invoice status - Billed/Batched, Purchase invoice - Unpaid

Sales invoice status - Unbilled, Purchase invoice - Paid/Batched

Batched Status:

Also, we have introduced a new status called "Batched" in both the sales invoice and purchase invoice statuses of the timesheet. If you have added the timesheet for a sales invoice or purchase invoice batch, the invoice status (Sales/Purchase) of the respective timesheet will be changed to "Batched."

You cannot edit the timesheet if both the sales invoice and purchase invoice status are "Batched."


Client User Portal - Improvements

Draft Timesheet - View:

The client user can now see the timesheets that were in "Draft" status and not yet submitted, but he can't edit them.

Export Timesheets:

Previously, the client user could only view, authorise, or reject the timesheets submitted by contractors. Now, we have given them the provision to export the timesheets from the User Timesheets screen.

If the user clicks Export, it will download the timesheets that were on the same page and Export All will download the timesheets across all pages.


Purchase Order - Kendo Grids

The team has worked hard to improve the usability and increase the performance of the purchase order screen for you😊 We have given the external filters on the screen to search for the purchase order to get the information quickly and changed the screen view to Kendo Grid as with the other screens like Contractors, User Timesheets etc.

As you can see, all the options in the old screen will be displayed, like Create, Summary Report, along with additional filters.

Clicking on the 3 dots next to each column title brings up even more filtering options for you to mess around with, and you can even search within each separate column!😎

PO-linked timesheets also got a Kendo view and you can search easily using this view.


Timesheet History Screen Changes

If the user clicks the "History" (clock) icon against each timesheet, he can see the changes that have been made to that timesheet. We have made a slight change in the history screen's view to make it more intuitive. The same view will be displayed in all screens which has timesheet history (User Timesheets, Adjustment, Client User Portal)

We have removed the timesheet number column and put it in the header.


Timesheet Manual Chaser Improvements

We have made some changes in the Timesheet Manual Chaser screen - please see further information on the link below 🔗


Bug Fixes🐜🐛

  • Previously, the PO indicator was displayed when adding timesheets to the batch against the client even though the timesheets inside are PO linked, now this is resolved and indicator will be displayed against the client only if the timesheets are not PO linked.

  • In Manual Timesheet, if the user used any Ad-hoc rate name which is already available in the agency rate details (default / ad-hoc), previously it was throwing “Rate Name Already Available” and couldn't give that it, now you can give the same rate name and it will be mapped against the rate name that is already available.

  • Previously, the Contractor can a 'sign' a document template that does not yet have a document uploaded to it to sign. We have now provided validation for the user to upload the document (mandatory) while creating E-sign template. Due to this validation, the above scenario won't occur in future.
