Learn how to access completed payroll records, reports, and payslips in Payroll History

This article will show you how to access the completed payrolls and their reports and payslips.

Accessing the Payroll History Screen

To access the payroll history screen, please follow the steps below

  1. Navigate to the dashboard by clicking on the logo. This will take you to the "Manage Clients" list.

  2. Find the client and click the "People" icon in the corresponding row. This will open a list of employees.

  3. On the employee dashboard, click on the "Payroll" tab. An orange underline will indicate the active tab.

  4. Select the Payroll History tab. The Current Period tab is selected by default.

Details on Payroll History Screen

The Payroll History tab displays payrolls that are processed. The following details are shown:

  • Pay Cycle – The payroll pay cycle

  • Employees – The total number of employees included in the payroll run.

  • Tax Period – Displays the tax month or tax week of the payroll, depending on the pay cycle

  • Pay Period – Shows the dates of the pay period

  • Pay Date – The pay date of the payroll

  • FPS Status – FPS (Full Payment Submission) Status

  • Net Pay (£) – The total net pay processed.

  • Action – Options to view payroll reports and rollback payroll

Grid Settings

You can customise the columns displayed on the listing page to suit your preferences.

  1. Click on the Grid Settings icon located in the top-left corner of the listing box.

  2. Select or deselect the checkboxes next to the columns you want to show or hide.

  3. Click Apply to save your changes.

Please note that these changes will remain in effect until you leave the page.

Filter Options

To filter payroll data:

  1. Click the Filter icon in the top-right corner to expand the filter view. Click the filter icon again to collapse the filter section.

  2. Use the following filters:

    • Pay Cycle – Type manually or select from the dropdown list. To clear the entered text, click the "X" icon.

    • Pay Date – Enter the date of the payroll.

  3. Click Search to apply the filters.

  4. To clear all filters and reset the list, click Reset.

Switching Clients

To switch between clients:

  • Manually type the client’s name or select from the dropdown list.

  • You will be redirected to the Employee Dashboard of the selected client.

Viewing Client Information

To view details about the current client, click the Info icon next to the client’s name.

This will take you to the client information page, where you can view/update the details.

Pagination

The pagination controls at the bottom of the grid allow you to navigate through multiple pages of records efficiently.

Pagination Options (From Left to Right)

  • Go to the First Page: Click this option to navigate to the first page of the list.

  • Go to the Previous Page: Move back to the previous page.

  • Page Number: Enter a specific page number to jump directly to that page.

  • Go to the Next Page: Move forward to the next page.

  • Go to the Last Page: Click this option to navigate to the last page of the list.

  • Items Per Page: Adjust the number of records displayed per page. You can select from 10, 25, 50, or 100 items per page.

Additionally, on the right side, you will find a record count displaying the total number of records and the number of records currently visible on the page.

Rolling back a Payroll

The Rollback option is available only for the most recent payroll. To initiate a rollback, locate the Rollback icon within the payroll grid and click on it.

After selecting Rollback, a confirmation pop-up will appear. You will have two options:

  • Click Proceed to confirm and execute the rollback.

  • Click Cancel to discard the action and keep the payroll unchanged.

Once the rollback is confirmed, the system will revert the payroll and move it to the Current Period tab, allowing you to make any necessary adjustments and rerun the payroll as needed.
