Accessing the Security Settings Screen

To access the Security Settings:

  1. Click the Settings icon located in the upper-right corner of the application screen.

  2. Select Security Settings from the menu.

Note: At any time, you can click the application logo to return to the client listing page.

Password Policy

The Password Policy section allows you to configure password complexity requirements to align with your organisation’s security standards. You can:

  • Define password strength rules (e.g., length, character requirements).

  • Specify password expiration intervals, prompting users to reset their passwords periodically.

PDF Email Protection

To support GDPR compliance, the application enables you to encrypt payslips, P45s, and P60s sent via email. You can configure different password combinations that employees must enter to open the protected PDF documents.

Employees will receive clear instructions within their payslip email detailing how to access their encrypted files.

Idle Timeout

The Idle Timeout feature allows you to automatically log out users who have been inactive for a specified duration. This helps prevent unauthorised access if a user leaves their workstation unattended.

  • The maximum allowable idle timeout is 25,000 seconds (approximately 6.9 hours).

Multi-Factor Authentication (MFA)

Multi-Factor Authentication adds an additional layer of security to the login process. When enabled:

  • Users will be presented with a QR code during their first login, which they can scan using an authenticator app.

  • They will be required to enter a one-time authentication code each time they log in.

You may also enable Remember Browser Profile, which allows the system to remember a user’s browser for a defined number of days (up to 90 days). When this option is enabled, users will not need to enter an MFA code during that period on that particular browser profile.

Note: This feature applies only to internal users.
