Your essential guide to managing Employer Payment Summary (EPS) filings

This guide outlines how to access and manage the EPS (Employer Payment Summary) screen, submit new EPS returns, and understand the data fields involved.

Accessing the EPS Screen

To access the EPS Screen, please follow the steps below

  • Navigate to the Employee Dashboard for any client/edit any client.

  • Click on the "HMRC & EPS" tab

  • Then click on the "Add/View" button in the EPS section

Submitting an EPS

To create and submit a new Employer Payment Summary:

  1. In the EPS screen, click the "+Create" button.

  2. A slider will appear with required fields.

  3. Fill in the necessary details.

    -> Click "Save" to save it as a draft and submit it later.

    -> Click "Submit" to send the EPS to HMRC.

Understanding the EPS Details

When submitting an EPS, you will be required to provide specific information. Below is a list of fields and their descriptions:

Field Name

Description

Tax Year

Tax year of the EPS submission period

No Payment Days - From

If you’ve not paid any employees in a tax month, then enter the start date of that tax month (6th)

No Payment Days - To

If you’ve not paid any employees in a tax month, then enter the end date of that tax month (5th)

Period of Inactivity - From

If you will not be paying any employees for a minimum period of one month and a maximum of 12 months. Put the 6th of the first month where you will not pay employees

Period of Inactivity - To

Enter the 5th of the last month, when you will not pay any employees

Tax Month (Recoverable Amount YTD)

Tax month of the EPS submission period

SMP Recovered

Amount of statutory maternity payment claimed

SPP Recovered

Amount of statutory paternity payment claimed

SAP Recovered

Amount of statutory adoption payment claimed

Shpp Recovered

Amount of Shpp claimed

SPBP Recovered

Amount of SPBP claimed

NIC compensation on SMP

Amount of National Insurance contributions compensation recovered through Small Employers’ Relief

NIC compensation on SPP

Amount of National Insurance contributions compensation recovered through Small Employers’ Relief

NIC compensation on SAP

Amount of National Insurance contributions compensation recovered through Small Employers’ Relief

NIC compensation on SHPP

Amount of National Insurance contributions compensation recovered through Small Employers’ Relief

NIC compensation on SPBP

Amount of National Insurance contributions compensation recovered through Small Employers’ Relief

CIS Deduction Suffered

Total amount of CIS deductions suffered year to date

Employment Allowance Indicator

"Yes" if you are eligible to claim employment allowance, and "No" if you don't claim employment allowance

Due Year to Date (Apprenticeship Levy)

Amount of Apprenticeship Levy liability due to date

Tax Month

Tax month to which the return of Apprenticeship Levy relates to

Annual Allowance Amount

Amount of annual Apprenticeship Levy allowance. The allowance is £15,000 (0.5%) per annum. It will be £1,250 per month.

Date Scheme Ceased

If the scheme has ceased, then enter the date when it ceased

Scheme Has Ceased

Tick if this is the last report because you’re closing your PAYE scheme

Final Submission Year

Tick if this is your final payroll report of the tax year

Manage EPS List

The EPS Listing page provides an overview of all EPS submissions for a client. The table includes:

  • Report ID – Unique system-generated EPS reference.

  • Tax Year – Tax year for the EPS submission.

  • Tax Month – Related tax month.

  • Submission Date – Date the EPS was submitted.

  • Created On – Date the EPS record was created.

  • Status – Submitted, Draft, Failed.

  • Info Icon – For successful submissions, shows the IRMark (used for HMRC reference). For failed ones, it shows error details.

  • Actions – Includes options like:

    • Edit (for failed EPS)

    • Download the Excel summary

    • Request EPS XML

To return to the previous screen, click the back icon beside the EPS header.

Updating an EPS

To update a draft EPS

  1. Navigate to the Employee Dashboard for any client/edit any client.

  2. Click on the "HMRC & EPS" tab

  3. Then click on the "Add/View" button in the EPS section

  4. Click on the "Edit" icon to update the details.

  5. You can either click "Save" to continue later or "Submit" to send it to HMRC.

EPS Filters

Navigate to the "Dashboard" by clicking on the logo.

  1. Navigate to the Employee Dashboard for any client/edit any client.

  2. Click on the "HMRC & EPS" tab

  3. Then click on the "Add/View" button in the EPS section

  4. Click on the "Filter" icon⁣⁣ to expand the view below. Click the filter icon again to collapse the filter section.

You can filter by the following criteria:

  • Tax Year – Enter the specific tax year.

  • Status – Choose "Success" or "Failed" from the dropdown.

  • Submission Date – Filter by EPS submission date.

After filling in the fields, click Search to filter the list of clients. To remove all entered filters and start fresh, click Reset.

EPS Grid Settings

You can customise the columns displayed on the EPS Listing page to suit your preferences.

  1. Click on the Grid Settings icon located in the top-left corner of the listing box.

  2. Select or deselect the checkboxes next to the columns you want to show or hide

Pagination

The pagination controls at the bottom of the grid allow you to navigate through multiple pages of records efficiently.

Pagination Options (From Left to Right)

  • Go to the First Page: Click this option to navigate to the first page of the list.

  • Go to the Previous Page: Move back to the previous page.

  • Page Number: Enter a specific page number to jump directly to that page.

  • Go to the Next Page: Move forward to the next page.

  • Go to the Last Page: Click this option to navigate to the last page of the list.

  • Items Per Page: Adjust the number of records displayed per page. You can select from 10, 25, 50, or 100 items per page.

Additionally, on the right side, you will find a record count displaying the total number of records and the number of records currently visible on the page.

Editing and Resubmitting EPS with Errors

If your Employer Payment Summary (EPS) contains any errors, the system will automatically provide you with an Edit option to correct them.

  1. Click the info icon to view the number of errors detected.

  2. Then click Edit to open the EPS and view detailed error messages.

  3. To see a full list of errors, click the Show Log button.

After reviewing the errors:

  • Make the necessary corrections.

  • Click Submit to resubmit the EPS.
