On occasion, you may join a number of workers in bulk and sending out starter packs/RTW checks and portal access emails may take a little time. Keeping this in mind, we have given you the option in the system to do it quickly, and it will definitely make your life easier. Please read through this article to know how you can do this in the system.
We have introduced a new menu in CRM called "Bulk Actions," and three submenus will be displayed under "Bulk Actions." that will help you to bulk send contracts (Starter Pack), RTW checks (Guest Links), portal access and update fields.
We will go through each of the below options in detail:
1. Bulk Guest Link
2. Bulk Starter Pack
The first and foremost step is to create a custom people list. Then only you can send guest links, contracts, or portal access to that particular population you need to send to. You can create the custom people list using the "Create" option displaying below the custom people list drop-down.
If you want to know how to create a custom people list, you can refer to the below article:
Bulk Guest Link
You can bulk send right to work checks for the workers by going into this menu under CRM -> Bulk Actions -> Bulk Guest Link.
From the article mentioned above (Custom People List), you come to know how to create the population. For sending guest links, what you would need to do is create a population to send to all workers who have RTW Application Status as "None" (example) like the below:
In such a way, you can add any conditions (or) create any population as you wish. After creating the population, it will be listed in the Custom People List drop-down for you to select and send.
Once you select the population, only the workers with the email address and application status (not pending) will be listed on the screen. You can see this information by clicking the info ("i") icon.
You can then select the list of people that you want to send and click the "Send Bulk Guest Link" button at the top. Selected people will be listed in the grid (right side in green colour).
Once sent, background task will be added and success message will be displayed.
After few mins, you can view the summary on how many guest links sent successfully and how many got failed by clicking the "History" button at the top. It will have the history details on when this batch has been sent and a summary in People Count (10/10 means everything has been sent successfully, 9/10 means 1 failed).
If you click the email icon (yellow colour) under "Action", it will show the status individually against each worker in this batch.

If you want to quickly see anyone's status, you can search using the filter in the top based on name, email, status (or) sent on.
Bulk Starter Pack
You can bulk send contracts for the workers by going into this menu under CRM -> Bulk Actions -> Bulk Starter Pack.
From the article mentioned above (Custom People List), you come to know how to create the population. For bulk sending contracts (starter packs), what you would need to do is to create a population to send to all workers who have Starter Pack as "Create" (example) like the below:
In such a way, you can add any conditions (or) create any population as you wish. After creating the population, it will be listed in the Custom People List drop-down for you to select and send.
Once you select the population, only the workers with the email address and starter pack (not Draft/In Progres) will be listed on the screen. You can see this information by clicking the info ("i") icon.
You can then select the template you wish to send and the list of people that needs sending and click the "Send Bulk Starter Pack" button at the top.
If the template do have Merge fields and if it's not saved in the worker record, then sending packs to those workers will fail, and it will show in the history.
When you click "Send," the slider will get opened in the right-hand side for you to see how many workers you're going to send to and the party details if the contract has more than one signer along with the worker.
You would then need to fill in the additional party details, and you can have the option to choose when the position worker needs to sign it. For example, if the contract has two signers (the worker and the new business manager), you can choose whether the worker needs to sign first (or) after the new business manager signs it. If you want the worker to sign first, you can choose "1" in the "Position of the Worker" field and then click "Send".
If your template has no additional parties, you would need to review the amount of people you're going to send in the top and click "Send" in the slider.
Once sent, background task will be added, and a success message will be displayed.
After a few minutes, you can view the summary on how many starter packs were sent successfully and how many failed by clicking the "History" button at the top. It will have the history details on when this batch has been sent, an envelope title, and a summary in People Count (10/10 means everything has been sent successfully, 9/10 means 1 failed).
If you click the email icon (yellow colour) under "Action", it will show the status individually against each worker in this batch in two tabs (Completed and Failed).
If you go into Failed tab, it will show the failure reason for each workers if failed. You can search the status for a particular worker by clicking on filter in the top right.

From the article mentioned above (Custom People List), you come to know how to create the population. For bulk granting portal access for contractors, what you would need to do is create a population to send to all workers who don't have login enabled currently (you would have to use the "Login Enabled" field) like the below:
In such a way, you can add any conditions (or) create any population as you wish. After creating the population, it will be listed in the Custom People List drop-down for you to select and send.
Once you select the population, only the workers with the email address and who don't have login access already will be listed on the screen. You can see this information by clicking the info ("i") icon.
