In AWS QuickSight, generating many reports is beneficial, but distributing them to your team enhances collaboration! As your business grows and changes, you'll want to make sure the right people can see the right reports, based on their roles. This makes sure everyone gets the information they need for their work. Plus, you can easily share specific reports with everyone in your organisation with just one click đ
Author users have more flexibility, features and the option to do more. One of them is sharing the dashboards, we will explain here how to do this
Sharing Dashboard:
Click on the dashboard you want to share. On the dashboard screen, click on the âShareâ button in the top right and click âShare Dashboardâ.
Note: You will only have access to share dashboards that you are a co-owner of. If you cannot see the âShareâ button, then get another Author user to give you co-owner permissions to the dashboard, or contact our Helpdesk.
Once you click "Share Dashboard", you will arrive at the Share Dashboard screen.
Sharing Dashboards with Specific Users:
To share dashboards with specific users, you need to search for the users using the âInvite users and groups to dashboardâ search box.
Note: You must type at least three characters for the users to show on the search box.
Click âADDâ next to the users you want to share the dashboard with:
Once you click ADD, you will be able to select the privileges you want to grant to the user.
Normally, you will just have the option to click âViewerâ. If the user is an Author, then you will also get the option to click âCo-ownerâ. An Author who is a co-owner of a dashboard will also have the ability to share or delete the dashboard, so choose this option based on the permissions you want to grant to the user:
Sharing Dashboards with All Users:
To share the dashboard with all the users, you need to use the option on the left bottom corner of the share dashboard screen.
Click the toggle next to the âEveryone in this accountâ text. This will configure the permissions for all users to have Viewer access to the dashboard:
Once this is enabled, a new toggle button will appear below, labelled âDiscoverable In QuickSightâ. This will allow users to see the dashboard on their QuickSight Dashboards screen.
Changing Dashboard Permissions:
In the âManage Permissionsâ section on the âShare dashboardâ screen, there are three columns for "Name", âPermissionâ, and âSave as Analysisâ for each user.
For Reader users, the permission and save as analysis can't be changed and will display as âViewerâ and âNot available for readersâ respectively
For Author users, the âPermissionâ column can be changed between âViewerâ and âCo-ownerâ, which changes the permissions of the user in the same way that you would when first sharing the report with the user
The âSave as Analysisâ switch allows the Author user to create a new analysis using the dashboard with identical configurations:
Doing so will also grant the user access to any datasets that are used in the dashboard as well, as these are required to make any edits to the analysis.
Once you enable this, you will be shown a pop-up for confirmation. Click âConfirmâ if youâre happy for the user to be granted user access to all datasets used in the dashboard.
Removing Dashboard Permissions:
The trash can icon can be clicked to delete the permissions for the dashboard from the user.
