Adding notes to Bank Transactions, Sales Invoices, Group Invoices and POA

Sometimes you may need clarification or explanations from other team members or Customers regarding business transactions. We have introduced a new feature to manage and track this within the system. The notes feature will allow you to add notes to invoices, group invoices, and bank transactions. Let me guide you through the details to show how it works

In the Sales Invoice screen:

To include a note, simply select the plus icon within the action column on the sales invoice screen

A small chat window will appear, displaying the invoice details at the top. You can input your message and either click the arrow icon to add it or press the enter key to add notes.

You can also use SHIFT + enter to add more lines as a paragraph or for notes that need to be separated

The comments will display alongside the user information, date, and time details.

Viewing the Notes: If the notes already exist, a dark blue icon will be available to view the details

In the Group Invoice screen:

On the group invoice screen, you will have the option to add notes. Also, you can add notes to the invoices in the group invoice

Here I have added notes only to the group invoice but not the individual invoice

In the Banking screen:

We've incorporated a notes feature into the banking screen for tracking bank transactions. The icons mirror those used on the sales invoice screen. A dark blue view icon signifies existing notes, while a light blue plus icon indicates the absence of notes, allowing you to add them.

Like in the sales invoice, the chat will show the bank date and description as the title of the chat box

In the Payment on Account screen:

We've included the feature to add notes on the Payment on Account screen. Here, you'll find notes from both the bank screen and the invoice screens, making it convenient to view all notes in a single location.

Tagging in co-users:

Interestingly, you can also tag your co-users in the conversations. Let me show you how.

Just type the "@" symbol, similar to other social platforms, and this will display all the active users.

Chat Notifications:

Once you have tagged the user, the respective tagged user will receive a notification. Once the user logs in, they can see the notifications on the top right corner


Clicking on the notification icon will bring up the notification detail window.


To view the chat, simply click on the "Open Chat" icon.

The system will automatically redirect to the corresponding screen with the chat already open.

Note: If the notes pertain to transactions older than a month on the banking screen notifications, it will simply redirect to the bank without displaying specific details.

You can opt to exclusively display unread messages by activating the "Only Show Unread" option.

If you have numerous unread notifications and wish to mark them as read, you can utilise the "Mark all as read" feature.

Mailing the Chat

Occasionally, you may need to send the entire conversation to a user who isn't part of the system. In such cases, you can email the conversations by selecting them and clicking the "Send Mail" button.

You'll get an email containing the details and comments added to that invoice/transaction
