If you're unsure on how to create a Compliance template or package, take a look at the following article 🙂
Before we get started, the Compliance screen has had a bit of a revamp 😎 it's now easier to assign templates/packages, track the status of documents and filter through existing ones! There is also a 'Last Updated' column in the Compliance grid which allows users to see when a document was last updated or signed.
Here's a quick glimpse of the new screen
Here are some of the new features when creating a template or package:
Hidden Documents
Sometimes an agency needs to keep track of documents on a contractor's record, but they don't need or want the contractor to see them. We have now introduced the ability to create compliance templates and documents that are not visible to the contractor, and only the Agency User can see them. This also means no notifications or emails will be sent to the contractor and there's no signing required.
In order to create a hidden document, select the following tick box upon creation. The email notification options will then automatically be greyed out.
Once created, the template will show a 'Yes' in the Hidden column.
Silent Uploads
If you want to upload a document that's visible to the contractor but doesn't require any action from them, you can now do a silent upload 🤫 By doing this, no email notification will be sent to the contractor, but they will still be able to view the document when logging in and will only have the ability to view any instructions and download the uploaded document.
In order to create a silent upload, select the following tick box upon creation.
Not Applicable
There is now the ability for a contractor to say whether an assigned template is “Not Applicable” to them without deleting the template. For example, 'VAT Registration Certificate' is sometimes “Not Applicable” as the Contractor's Limited Company may not be VAT Registered. Only the agency user can set as this option when creating the template by selecting 'Can be Not Applicable' , as per below.
Then, when the contractor views the document, they will be able to select the 'Not Applicable' box without uploading any documents and the status will change to 'Completed'.
Hyperlinks
When a template or package has been created, some of the fields in the grid are hyperlinked. Clicking on the template/ package itself will bring up the option to assign this to a worker.
Clicking 'Awaiting Approval' will allow you to upload a document, approve or reject a template.
Clicking on the Client/Contractor name will take you to their record. The layout of this has now been amended, with the name displaying at the top rather than the side to give more space for the fields below.
Compliance Chaser Report
You can now view an on screen report of any contractors or clients who have a compliance document that is still in 'Pending' status by going to Reports> Compliance Chaser Report.
You can choose your filters, and the report will bring up any contractors that fall within those filters. If you select 'Not sent' for the email status, the report will bring up any contractors that have not yet been sent a chaser email. This list can also be exported into an excel document.
You can then select the contractors and send an email to individuals or in bulk. You will then see the following message confirming that the email has been sent, and the contractor will no longer appear in the 'Not sent' chaser report. In order to see a report of contractors that have been chased; simply change the filter to 'Sent'. 😃
Improvements:
Larger file uploads
Previously, the system only allowed users to upload a combination of files with a maximum of 1MB 😑 however, now it will allow a maximum size of 2MB per file and up to 5 files 🥳
Instructions
Previously, contractors were not reading/ not aware of instructions in the documents. We have now moved the instructions so that the worker must read them before uploading any files.
That's it from Compliance...we hope you enjoy! 🙋🏽♀️
