What is a KID?
In April 2020, the UK government brought in regulations requiring that agency workers be provided with a Key Information Document (KID) before agreeing to terms with an employment business. This document should be provided by the Employment business (Agency) to the worker as early as possible to ensure workers have a clear understanding of how their income passes through the supply chain.
Where there is an Intermediary or umbrella company in the payment chain there are certain facts that must be included on the document the worker receives including The Intermediary Rate of Pay and Details of statutory and non-statutory deductions from the Intermediary Rate.
More detailed guidance on what information agency workers should be receiving as part of the Key information document can be found here on the government website.
What does the KID look like?
Below is an example of the format the My Digital System will produce, this has been populated with dummy information for illustrative purposes only.
How can I generate a KID Document?
KID Documents can be created for Umbrella, Contractor as Employee, CIS and PSC models.
KID documents use the data from illustrations to populate the fields within the PDF. So the first step is to create an illustration, if you need a refresher on how to do this why not check out this article?
Once you have generated an illustration for a worker. You will find there is an icon under the action column to download the KID PDF document.
Once you click the download icon, you will be asked to define which umbrella company, company name and employment business needs to be included in the document. These are drop-down fields where you can choose from the companies and customers in your system.
You can also choose whether to remove the Cover page to make the KID compliant.
