Pension Upload Report - MDA

This article will help you understand the Pension report exported from My Digital Accounts.

The Pension Upload Report screen can be accessed by going to Payroll -> Reports -> Pension Upload Report.


Understanding The Main Screen

The below picture is a screenshot of the main page. The grid is quite simple and shows Employee Name and Pension Deductions for that period.


Downloading And Uploading The Report

Our advice is to manage your pension uploads the day after that tax week or month has ended. This day for weekly frequency will change every tax year based on when the 6th of April lands that year. The Tax months will always be from the 6th to the 5th of the following month.

When you're ready, you just search for the correct period using the filter provided.

Tax Year: This is always the start of the tax year.

Frequency: Select weekly or monthly based on your workers' settings. You may be required to upload both a weekly and monthly schedule to your pension provider.

Period: Select the tax period that you are uploading to your pension provider.


Once those have been selected, hit the search button, and you will see the workers who are enrolled, with the pension figures deducted.

You should see some form of export button in the top right corner, as shown below.

Your screen might not mirror the screenshot exactly, as each scheme has its own upload and therefore they each have different exports. They all follow the same workflow.

Those with one export button mean the upload file contains both the new joiners and contribution files in one. If this is what you see, then you should be able to simply upload the download to your pension provider.

Whereas some schemes may separate their files, you will see a 'Joiners' export option.

We recommend that you check the pension upload report against what was uploaded to your provider to ensure you are uploading all the contributions required.


Can Rollbacks Affect The Report?

Yes, payroll rollbacks will change the pension reports. This is because the report looks at pay dates within the tax period, so once a payroll is deleted, the pension figures are no longer there.

Therefore, it is important that any reprocessed payrolls are processed on the original pay date. This way, you are correctly submitting a correction FPS for that period and you do not have to worry about overpaying pension contributions as backdated payroll should have already had pensions paid over to your provider.

What If The Pension Figures Have Changed?

If the figures have changed since the rollback, then we suggest you contact your pension provider for help on how to correct this. Most will have what's known as an exception submission. Alternatively, you can alter their current week's pension figures to factor in this difference.


Why Has My Upload Failed?

If your upload from MDA has failed, then your pension provider should give you an exception file or something similar. This will tell you where and why the file failed. Have a go at understanding the error messages and correcting them yourself.
