Reports - Timesheet Chaser Report - MDT

The timesheet chaser report is used to follow-up Contractors with a reminder if they have timesheets outstanding for a period. From the report, Organisation Users are able to send out a reminder email to the Contractor’s to submit their timesheets.

Access the Timesheet Chaser report through the Reports area on the grid-menu

Running the Timesheet Chaser Report

For a Contractor to display in the report, the following must be met;

  • The contractor must have an active assignment

  • The contractor must not have the weeks cancelled

  • The contractor has not submitted a timesheet for hours or daily units, this includes a manual timesheet being submitted on their behalf


If a timesheet has been submitted for an expense only, e.g. Organisation user has inserted a manual timesheet for an expense to be reimbursed – the Contractor will still appear on the Chaser Report as no hours/days have been submitted for them

Start Date: Mandatory – select the start date of the period being checked
End Date: Mandatory – select the end date of the period being checked
Client: Select client that the Contractor is for, this is a stackable field so multiple clients can be selected

Contractor: Select the contractor if searching for one in particular
Press the SEARCH button

Action the Timesheet Chaser Report

Timesheets that are not completed will display in the search area

Press the DOWNLOAD button to export these results to Excel if required

From this screen, you are able to send email reminders to Contractors that they have timesheets requiring to be submitted.

Assignment: Assignment ID for the timesheet that is missing
Contractor Name: Contractor who has missing timesheet
Contractor No: Contractor ID
Contractor Email: Contractor email address
Contractor Mobile: Contractor mobile number
Client: Client the Contractor has worked for
End Date: Period end date that the timesheet is missing for
Status: Will always be Open as the timesheet is missing
Actions: Option to send email to Contractor to chase the timesheet

E-mail Reminder

The Contractor will be sent an email to remind them to submit their timesheet - the Contractor is then able to log in to the Texas portal to submit their outstanding timesheets.

To bulk send to all Contractors on the screen, select all using the check-box to the left of the Assignment, and press the SEND MAIL button.

To send individually, press the Send Email icon from the actions menu. If a reminder has already been sent, the icon changes and there is then the option to Resend the reminder.
