Ghost records are a helpful tool which essentially allow you to create a false record for invoicing purposes.
In this example, let’s assume you have imported timesheets and created a ghost following Timesheet Upload – Creating Ghosts.
Once that worker is all signed up using People Hub you can then match that live record to the ghost. This will carry over the ghost assignment and invoice into the live record, allowing you to run that worker through payroll.
The manage ghosts screen can be accessed from Payroll -> Preparation -> Manage Ghosts. From the main screen you can search for all ghosts in one place; just select which type of ghost from the dropdown menu before hitting Search! Your options are:
Unmapped Ghosts
Archived Ghosts
Ghosts Linked to a Lead
Mapping a Ghost
Once you are on the main screen for manage ghosts, the process for mapping the ghost and live record together is really simple.
You are firstly going to select the ghost record and click on the 'Map' button as shown below.
You will then be taken to the following screen.
You can map to the live assignment that is created for the worker in people hub, create a lead, or map to a pre-existing lead
On the left is the ghost details and on the right is where you search for the live record, lead record or create a lead. In this case I am going to search for 'Rory Brown'.
Archiving a Ghost
Archiving a ghost may be necessary if the worker will never be employed for whatever reason.
Once you are on the main screen for manage ghosts, locate the ghost that needs archiving and there will be an icon in the action column shown below.
The ghost has now been archived and can be accessed through the 'Manage Archived Ghost' dropdown if needed.
Please Note - Archiving a ghost will only remove the ghost record. you will still need to delete the ghost assignment and invoice to remove all account postings.
Unarchiving a Ghost
Unarchiving a ghost may be necessary if the ghost was accidentally archived.
Once you are on the main screen for manage ghosts, select the 'Archived Ghosts' option from the dropdown and you will see the below.
From there, just locate the record and select the unarchive button in the action column shown below.
The ghost record will now appear back in the 'Manage Ghost' screen. Allowing you to proceed as if they were never archived.
