The Notebook is home to all things relating to Pages/Notes/Tasks. This is so you can annotate the workers or businesses in your CRM and manage your daily tasks and assign tasks, other teams/people. Think of it as your work planner, where you can collaboratively manage your workers and business relationships.
The notebook is where all of your pages, notes and tasks will be displayed collectively and you can see those that are allocated to you and due today and also search through all other notes and tasks. These pages and tasks are also viewable from within people records and business records so whenever you’re looking at a particular record you can see all notes relating to that person or business.

The main screen looks like the below image and is broken down into three sections.

Overview Summary
When you open the Notebook page you can quickly see a summary of the pages and tasks.
Open Pages | Displays the number of pages with the status ‘Open’ |
In Progress Pages | Displays the number of pages with the status ‘In Progress’ |
Open Tasks (Total) | Displays the number of tasks with the status ‘Open’ or ‘In Progress’ |
Open Tasks (Today) | Displays the number of tasks with the status ‘Open’ or ‘In Progress’ that have a task schedule date for today. |
Assigned/Created/Pinned Pages
In the dashboard, you can see the most recent 10 items for the Assigned, Created and Pinned pages. You can toggle between these options by using the buttons in the dark blue banner, as shown in the image below.
The information shown in these tabs is as follows.
Pages ID | This number is autogenerated when the page is created. You can go into the page by pressing select on the number. |
Contact | Who the page is assigned to at contact level, so in my example, page 0031 is for Amy Miles and will show on her people record. |
Subject | The subject on the page, which can be custom at the point of creation or the dropdown options are set up in CRM Settings. |
Tasks | The number of tasks created on this page. |
Notes | The number of notes created on this page. |
Last Updated | The date anything on the page was last updated, like creating a note or changing a status on a note or task. |
Status | The current status of the page. |
Contact Level | Is the contact record at business or people record. |
Action | You can delete pages if the status is ‘Open’ or ‘Closed’ |
Pinned Pages
You can view your pinned pages in this section, pages can be pinned by opening up the page and selecting the pin icon in the page header.
The way they are displayed is in the exact same format as the assigned/created pages. With the extra ability to unpin them via the action tab.
Page Updates
The section to the right is for updates, so you can see the most recent 25 changes that have happened to pages and tasks that you are associated with. This will update every time you enter the main screen, or it can be manually refreshed via the refresh button in the top right corner.
How to create a page
To create a new page select the create page button on the Notebook home screen, this will bring the Page Creation form onto your screen. See the completed example below.
Contact | The person/business you want this page to relate to. |
Subject | what it relates to and the dropdown is decided at CRM Settings level, or you can simply tick the custom subject box and free type a subject as I’ve done here. |
Description | Free type box that will be on display in the main body of the page. You can also embed hyperlinks in this box. |
Status | Choice of Open / In Progress / Closed. |
Private Page | Check this box if you want the page to remain private between the creator and assigned personnel. |
Assign To | is where you assign the page to a user. There are hyperlinks to assign the page to yourself or to create/maintain groups. |
Once you’re happy with the page, hit submit. You can then find your page in the assigned pages list (if you assigned it to yourself or a group where you are a participant), your created pages list or on the main pages list.
You can then click on the arrow mark (blue) under the Pages ID against each page, this will take you to the page, and the screen will look like the one below.
Each page is then your anchor for creating/deleting notes and tasks to the page to manage the details you're adding to workers and businesses effectively.
How to create a task
To create them during page creation once you get the page ready to create, there will be a toggle button for ‘Create Task’ shown below.
Doing so will populate the screen with task information for you to complete.
Task Type | The possible options are determined at Task Settings. |
Task Scheduled Date | When is the task due to be completed? |
Assign to | Who should this task be assigned to? If you want to create a private page you can only assign tasks to people within the assigned team or person if you didn’t assign the page to the team. |
Description | What is the task? Add a brief description so the user knows what the task is. |
Once you’re happy, hit create and the system will create the page and task together.
Creating a Task Within a Page
To create a task within a page, select the Task tab, highlighted below. Populate the details highlighted as mandatory with the asterisk and then hit “Add Task” button.
How to create a note
Notes are created within a page and are a great tool for updates that don’t necessarily require an action off the back of it.
To add a note, ensure the tab is selected on your page, see below. Add the description, attach anything if it is necessary, and click "Add Note". It will create a note successfully.
