Amending payroll details for workers in a previous tax year

Making adjustments to payrolls in earlier tax years have historically been handled by an "Earlier Year Update" or "EYU" using HMRC's Basic Tools. For the tax year 2020/21 you must now submit these adjustments via FPS submission and can no longer use Basic Tools. Tax years 2019/20 and 2018/19 can use either HMRC's Basic tools or FPS submissions.

In My Digital, you can generate FPS's to adjust previous tax years using our Earlier Year Amendment feature.

For a person where you need to make an adjustment in a previous tax year navigate to Payroll>RTI e-submission>Earlier Year Amendment then click on Create New.

Step 1 is to establish who you are creating the FPS for. You have 3 options, you can create an FPS for a currently active person, a leaver or a person not recorded in your system (perhaps someone you didn't migrate over from an old system).

People in the system

If the person's details are in the system choose them from either the "people" drop-down (active people) or the "leaver" dropdown.

Once selected, all the personal details will pre-populate with the details on that record when the last FPS submission of the most recent tax year was submitted.

To make the adjustment, simply find the field/s you need to change and update the details. For all other information leave the figures that are already in the box if they haven't changed. Please note, any fields that do not have a figure will be submitted as zero.

Note: Not all fields are mandatory, those that are mandatory are indicated with an asterisk.

People not in the system

If you need to make an Earlier Year adjustment for a person who's details are not in the system you will need to complete all the mandatory fields on the form manually.

Once you have completed the details hit save, you will then be returned to the EYA management screen which will show your newly created entry.

Verifying your EYA

You should now download and verify the details you have entered into the system. To download, click on the excel icon:

Once you have reviewed the document if you need to make any changes you can do so by clicking on the eye icon in the Action column. This will take you back to the full details screen where you can make changes to any of the fields and save.

You can re-download the file if needed by clicking on the excel button.

When you are happy with the details you can submit the FPS using the Submit button.

After you submit the FPS you can download the XML file (the format the data was sent to HMRC) by clicking on the XML icon.
