As we get closer to Joint and Several Liability (JSL) legislation coming into effect on the 6th April 2026, your Customers may be looking to you for more information to help them complete their additional compliance checks.
There will likely be a number of options you will be able to offer and one of those may be a 'look through' system so they can see the actual PAYE/NI liabilities for any workers they hold with you. We have therefore launched a new Customer Portal with key features such as:
A break down your monthly P32 balance by Customer to show the PAYE/NI amounts for just their workers only
The ability to Upload documents for each Tax Month such as screenshots of evidence of your tax account with HMRC that has been cleared each month
Your Customer can also access and view all payslips for their workers
The portal will also show the IR mark for each FPS submission so they have assurance payroll data has been submitted to HMRC
Customers access to this portal is controlled by you however there are some key areas to consider first which are set out below.
Customer Set-up Process
Naturally, as there is a lot of access to worker information on their payslips, we would recommend carefully considering how your Customers are set up. For example, setting up direct staff members who may leave and join another Customer, but still has access to their old logins may create a GDPR risk. On that basis, we have structured the login process so that an additional One Time Password will be issued to the email address each time they login.
It may also be best practice to suggest to a Customer to use a shared compliance inbox as the email address so log in attempts can be tracked or limited to only certain key staff.
In terms of creating access for a Customer (set up limited to Accounting Firm Admins only), click on the Create User in Manager users and add in the necessary name/username/email address as usual and select the Role Name of Customer. You may have more than one Company set up within My Digital so select which company or companies you want them to have access to.
Finally, you will need to select which Customers this User will have access to. Once saved, an activation email will be triggered to the email used.
On the Manage Users screen, you can filter Role Name to Customer to see which users have been created. The edit icon will allow you to see their set up and the current Customers the user has access to if any need to be added/removed. You will then have User control as normal to deactivate/delete users where necessary.
Email Template Configuration
We have created System Template emails that will go out to your Customer the first time their login is Activated as well as each time their One Time Password is sent to them. You may want to edit/add more to personalise these emails so please head to CRM>Communications>Email Templates to do this.
You will then be able to search for two new templates:
Customer Login - OTP
Customer Portal - Account Activation
Click the view icon to see the current template and if you wish to add more to this, click the Create button at the top and select the template from the dropdown. From there, you will be able edit the text in the email.
Please note that anything in brackets is a User Field which will be added by the system when the email is triggered. This email template does not unfortunately allow for attachments to be added however you may want to create a unique webpage for any further guides/information and add that link in this email.
Evidence Upload
You may opt to upload documents or evidence to provide confirmation key tasks for each Tax Month have been completed and this can be done in Payroll>Reports>P32 Report by Customer. Click on Upload Evidence, select the Tax Month you wish to add to and select the necessary file. Once saved, all Customers that have access to a portal login will be able to see these documents.
Customer Portal
Once a Customer accesses their Portal, they will land on the P32 Report by Customer page which will look like this:
This real time dashboard will update each time payroll is finalised and your Customer can login anytime they want. This dashboard will summarise the PAYE/NI liabilities that are associated to their workers only.
Any evidence you upload for each tax month will show as per below and can be downloaded for their records:
They will also have the option to View Payslips where they can search/download any worker payslip. Under Actions, they will also be able to click the view icon to see the IR mark to confirm the FPS has been received by HMRC. They will also have the option to download the FPS submission in Excel so they can further check the FPS submission details against the workers payslip:
