Customer and Customer Group Statements – Download and Email Options

We’ve introduced a new feature that allows you to download customer and customer group statements for a selected date range in PDF and Excel formats.

Overview

For the selected customer, the system automatically calculates the outstanding balance prior to the chosen start date and displays it as the Opening Balance.
All sales-related transactions within the selected period will then appear in chronological order, including:

  • Sales Invoices

  • Credit Notes

  • Payments on Account

  • Invoice Receipts

  • Write-offs

  • Customer Payments

  • Clearing Down Customer Payments

Additionally, you can now email the customer statement directly to customers. The emailed statement is sent as a PDF attachment.

Accessing a Customer Statement

  1. Navigate to Financial Accounting > Customers.

  2. Click on the Customer Statement icon next to the desired customer.

This will open a slider panel with the following options:

  • Start Date: Defines the beginning of the reporting period.

  • End Date: Defines the end of the reporting period.

  • Include Individual Invoices:

    • If selected, the report will display group invoices as individual invoices (showing each invoice number), even if your invoicing settings are configured for grouped invoices.

    • If not selected, the report will show grouped invoices (without listing individual ones) along with any standalone invoices.

    • For customers set to have individual invoices by default, the system will automatically include invoice numbers in the report.

Note: Data can be retrieved across multiple financial years.

Downloading the Statement

  • Initiate Download: Click this option to download the statement in PDF or Excel format. Then select Initiate Task to start the download process.

  • Once initiated, you can track the status of the report directly on-screen.

  • After the report is ready, you can:

    • Download the file (PDF or Excel) directly from the screen, or

    • Close the slider and go to View Downloads to access and download the files later.

Emailing the Statement

  • Send Email: Select this option to email the PDF version of the statement to the customer’s primary email address.

Note: Only the PDF version can be emailed. The Excel version is available for download only.

Accessing a Customer Group Statement

  1. Navigate to Financial Accounting > Customer Groups.

  2. Click on the Customer Statement icon next to the desired customer group.

This will open a similar slider panel as the customer statement, without the email option.

Key Difference


The Customer Group Statement includes the Customer Name column in the report, providing a consolidated view across multiple customers within the group.
